What we are looking for
The Admin Executive will provide comprehensive support in administration and finance operations, ensuring smooth day-to-day functioning and maintaining accurate financial records. This role involves assisting in bookkeeping, handling documentation, managing vendor coordination, and supporting reporting requirements.
Your main responsibilities
Finance & Bookkeeping Support
  • Ensure all bookkeeping and accounting tasks are completed accurately and on time.
  • Assist the Finance Manager in finalizing year-end financial results for investment and operating companies.
  • Collect and verify invoices, receipts, and supporting documents, ensuring timely recording.
  • Maintain organized financial and administrative records for audit and compliance purposes.
  • Gather and prepare financial data for MIS reports in coordination with the finance team.
Administrative Operations
  • Handle general office administration, including filing, document control, and vendor management.
  • Coordinate payments and expense reimbursements with finance and relevant stakeholders.
  • Manage correspondence with external partners, suppliers, and service providers.
  • Support scheduling of meetings, preparation of agendas, and follow-up on action points.
Compliance & Record Management
  • Ensure all company documents, contracts, and records are up-to-date and easily accessible.
  • Assist with regulatory filings and renewals as required by local laws.
Your qualifications
  • Bachelor’s degree in Business Administration, Accounting, or related field.
  • 2–4 years of experience in administrative or finance support roles.
  • Basic knowledge of bookkeeping and accounting principles; experience with accounting software is an advantage.
  • Strong organizational skills with attention to detail.
  • Proficiency in MS Office Suite (Excel, Word, Outlook).
  • Ability to manage multiple tasks and work in a fast-paced environment.
  • Excellent communication skills in English and German.
